Privacy
We collect the least we need to send your venue a trivia pack and bill for it. We never sell it.
What we collect
- From you at sign-up: venue name, your name, email address, suburb and state, your trivia night and plan, and whether you want news and offers.
- From Stripe: your customer and subscription IDs and whether payments succeeded. We never see or store your card number. Stripe handles cards under its own privacy policy.
- From the night: if teams use the phone answer page, the team names and answers they type, kept only to run and mark that game.
- A record of the emails we send you and when, so we do not send a pack twice.
League interest list
If you register interest in the national Pens Down League at /league, we keep what you typed: for a venue, its name, suburb, state, your name, email, optional phone and trivia nights; for a player, your email, postcode and optional venue; plus the time you ticked the consent box and, if the link you followed named one, where it came from (for example instagram). We use it only to contact you about the league launch, keep it on our own system, and do not pass it to anyone. Reply stop to any email, or email us, and we delete it. If the league does not launch, we delete the list.
Pens Down League
If a venue switches its league on, we keep for that venue: each team's name, its four digit team code, the team's scores, ranks and league points for each night, and the head count and bar takings the manager types in by hand. That is all. We do not collect any player's name, email, phone number or location, there are no player accounts, and the phone answer page sets no tracking cookies. A team name is whatever the team typed; please do not use a real person's full name.
Retention: league records are kept while the venue subscribes, and deleted within 90 days of the subscription ending unless the venue asks us to keep its history. The venue can delete any team, with all its results, from its league page at any time, and can export the whole league as a spreadsheet (CSV) from the same page. A team can ask the venue, or us, to delete it.
The cross-venue ladder only shows venues that opted in, and shows team names, venue names and scores only. Takings and head counts are never shown outside the venue's own page.
How we use it
To send your weekly pack, run your account, take payment and answer your questions. News and offers only go to people who ticked the box, and every one has a link to stop them.
Who we share it with
Only the services that do the work: Stripe for payments and our email provider for sending. We do not sell, rent or trade your details, and we do not run advertising trackers on this site.
Where it is kept and for how long
Your details are kept while you subscribe and for up to 7 years after for tax records. Team names and answers from phone games stay with that game's record; ask and we delete them.
Your rights
We follow the Australian Privacy Principles in the Privacy Act 1988. You can ask to see or correct what we hold about you, or ask us to delete it, by emailing [email protected]. If you are unhappy with how we handled a complaint, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
